The finer details
Stef, Beth and team are in the midst of a bustling January with all conference rooms booked and jam-packed until the end of February.
An SAPC print customer booked a staff conference for 45 guests, a new client for us it’s their first event here, and Stef’s been hands on doing what she can to help organisers get everything just right.
They’ve booked the whole top floor, to encompass both the Sea View and Beech suites as well as the break out space (with its striking views of the clay country including St Austell’s iconic sky tip).
They’ve booked plenty of equipment including both a hand-held and lapel microphone, a lectern, 6 flip charts, a projector and screen, laptop, and Bluetooth speakers (for background music during breaks and on arrival).
They’ve also booked their printed materials with us…
Stef discussed room options with organisers to figure out what would work best for the space and tone of the day.
Quite a lot of detailed planning went in to setting up the room just right. For example having a smaller table of 4 nearer the door so as not to block the exit. The team tables are different sizes and so I wanted to make sure the set up was balanced.
Stef provided drawings and dimensions of the Sea View suite and talked through table plans to suit the different size teams (a bit like wedding planning!). Once the cabaret layout was decided she had table names and delegate place cards printed by the SAPC digital team.
Guests will be greeted with our usual fine spread of tea, coffee and biscuits on arrival, and enjoy some fine food from our lunch menu with the popular farmhouse buffet as well as a chicken Balti with all the trimmings, and vegetable lasagne – all self-served from bain maries in the Beech suite.
We’ve a pretty full catering menu to choose from but we’re flexible about food and if a client wants something specific, something a bit different, we’ll do our best to provide it.
With a swift half hour scheduled for lunch, Stef says timing is everything.
I know everything will run smoothly as we’ve carefully planned the entire day. I love planning the finer details. Offering that extra service to our customers and doing our bit to make sure an event is the best it can be.
If you’re planning an event and looking for some help getting those finer details just right, then give us a call to start planning together.
